50 an hour 19 hours ago 19 hours ago 19 hours ago Statement of Purpose Provides the Chief Executive Officer (CEO) and Chief Financial Officer (CFO) with high level administrative support by conducting research, preparing reports, handling Information requests, and performing clerical functions such as preparing correspondence and monthly Board of Directors' Information packs, arranges meetings, works on special projects and is a liaison between administration, departments, Physicians and the community.
Essential Functions, Knowledge, Skills and Abilities Performs essential clerical functions such as taking minutes, sorting and distributing mail, copying, faxing, e-mailing, and mailing.
Develops trust and teamwork with staff and patients.
Uses proper grammar, spelling, punctuation, proofing, and basic math.
Revises policies for grammar, content and maintains policies current.
Maintains the efficient and smooth internal running of the administrate staff functions.
Greets and directs patients/visitors/venders.
Maintains and supervises the minutes of various meetings, i.
e.
Board of Directors, Management, etc.
Coordinates seminars, retreats, travel arrangements, hotel and meeting accommodations for CEO, Board of Directors, and Management Staff.
Assists Chief Executive Officer and Chief Financial Officer with routine and Maintains contracts with assigned venders.
File and retrieves corporate documents, records and reports.
Assists the Facilitator Director on facilities maintenance needs and works with contracted venders to achieve a positive appearance and functionality.
Informs the Chief Executive Officer of administrative or clinical operational problems.
Coordinates meetings by identifying appropriate agenda items, issuing reminders, confirming attendance, and purchasing/ordering food for the meetings.
Attends appointments, meetings, and conferences on behalf of the Chief Executive Officer and Chief Financial Officer, as assigned.
Assists the Chief Executive Officer with meetings, routine and special projects, strategic plan, grants, reports, etc.
Maintains the strictest confidentiality.
Performs in a professional manner and puts forth their best effort.
Communicates openly and consistently with Supervisor(s) and all staff.
Self-motivates to perform department tasks as needed.
Must be able to problem solve and handle multiple tasks.
Must be able to work efficiently around constant interruptions, distractions, and noise.
Must be able to help diffuse hostile, verbally abusive and emotional patients.
Handles marketing and advertising projects.
Assists as back-up to the Facilities Director in various aspects of facilities maintenance duties and tasks.
Maintain Board Room stocked with supplies and neat.
May be expected to perform duties other than expected or outlined in this job summary.
Required Education and Experience Minimum Education:
Bachelor's degree Two years' experience as Administrative Assistant and/or Executive Assistant.
Valid California Driver's license and insurable through Altura policy.
Preferred Education and Experience Minimum three year's of experience in an administrative position Competencies Problem Solving/Analysis Communication Proficiency, both written and orally.
Ethical Conduct.

Travel Little to no travel is expected for this position.
Typical example of travel would be driving to ALTURA's various clinic locations.
